A day in the life of…our accounting team

It’s not all translations, DTP and CAT tools here at EVS Translations, you know. Today, we meet up with some of the members from our global accounting team and find out how they support the work of EVS Translations and our clients. Elke, Birgit, and Natascha took some time out to tell me about life at our head office in Germany.

Elke, what do you have on your ‘to do’ list today?

I’m writing out invoices for completed translation projects. Once a month there is a big account to process for a key customer of the automotive industry, and that’s happening today.

Natascha, can you give us some insight into your role?

I mainly deal with payables, which means I enter invoices from freelance translators into our Business & Translation Management System and check our credit card billing for correctness and completeness. I’m also responsible for the travel expense accounting, as well as the monthly settlement.

Birgit, you are responsible for consolidation and reporting for EVS Translations Germany, UK, Bulgaria and US. How do you prepare for a task like that?

My primary task is to keep an overview about all the expenses and earnings of the company to ensure our cash flow. So when Natascha finishes her work I can start doing mine. All offices have got their own accounting staff and send their reports to me. Afterwards I integrate them into our statistics for the EVS Translations Group. Also I plan the budget for the respective departments with our CEO Edward Vick as well as our Head of Marketing Monika Heusel.

How does the accounting team help our clients at EVS Translations? What electronic platforms does EVS Translations offer its clients for invoicing?

Our clients receive their invoices geared to their needs: They can request their bills by post or email as well as in their own accounting system like SAP Ariba or Adquira. Hard copies remain the most popular options; digital alternatives are becoming more popular though! We also offer the possibility of a collective invoice, which combines several bills into one single payment request.

All invoices are gathered in the Business & Translation Management System regardless of the invoice method chosen.

For each translation our project managers create a job sheet in the software mentioned above. Here it’s recorded which translator will work on the translation, as well as which language pair is needed. As soon as the translation is completed Elke receives a notification and raises the invoice for the order.

What do you enjoy most about your work at EVS Translations head office in Germany?

The team spirit and good atmosphere in the office! Pictures of social activities and certificates of professional development decorate the walls, so it’s much more than just an office.
